Private Music Lesson Terms & Conditions - Roy Woodwind
OUR COMMITMENT TO YOU
The student will receive a 45-minute/60-minute private music lesson with teacher Roy Li at an agreed time and location. The tutor will be present at the agreed time and location unless the school is contacted via phone or SMS.
YOUR COMMITMENT TO US
The student will be present at the agreed time and location, or they must contact the studio directly via WeChat, WhatsApp, phone call, or SMS. Failure to do so may result in a full lesson charge.
FEES & PAYMENT
The 1-to-1 tutoring hourly rate is fixed. The agreed lesson fee is payable to "Roy Woodwind Pty Limited." An invoice will be sent at the beginning of the relevant NSW school term to the student via email/ (WeChat for copy).
The invoice is payable within 14 days. Lesson numbers per term vary according to the NSW school terms. Failure to pay within the allocated time frame will result in a termination of lesson service.
Refunds/Credits are not offered except under exceptional circumstances.
In accepting your lesson spot, you also agree to pay your invoice each term within the agreed time frames.
LESSON CANCELLATION POLICY
Reminder and Confirmation:
A friendly reminder will be sent via WeChat, WhatsApp, SMS 24 hours before the scheduled lesson to confirm the student's attendance.
Cancellation Policy:
Last-minute cancellations are not permitted, and the corresponding lesson fee will be forfeited.
If less than 24 hours' notice is given for cancellation, the lesson is forfeited, and the fee is payable. In case of illness with 24 hours' notice, lessons may be made up during the corresponding vacation or credited to the next term's invoice.
School Events and Excursions:
For school excursions or calendar events, a minimum of 7 days' notice must be provided to the tutor. With adequate notice, the tutor will arrange a makeup lesson at a mutually agreed time and location. In the case of insufficient notice (less than 7 days), the full lesson fee will be charged.
Makeup Lessons:
Makeup lessons are offered in consultation with both the student and tutor to accommodate unforeseen circumstances.
Lesson Credits:
A maximum of one (1) lesson credit per student will be provided each term and applied to the subsequent term's invoice.
Cancellation Notice:
Written notice of cancellation must be given two (2) weeks before the commencement of the next NSW school term. Failure to provide adequate cancellation notice will result in a 4-week lesson cancellation charge, meaning payment for four (4) lessons from the date of the correspondence if notice does not fall within the required time frame.
This cancellation policy is designed to maintain a fair and transparent relationship between the student and Roy Woodwind Pty Limited. It ensures clarity and flexibility in handling various situations while maintaining a commitment to the agreed-upon lesson schedule.
PLEASE NOTE
Roy Woodwind tutors are responsible for their students during official allocated lesson times only. We do not take responsibility for children outside of these times.
In accepting your lesson slot with us, you are agreeing and accepting our terms and conditions agreement for lessons. Please keep this document on file for your reference.

1. Service Overview
1.1 Scope of Service:
Roywoodwind (referred to as "we," "us," or "our") provides ensemble/coaching performance services where our trained musicians, equipped with public liability insurance, perform on-site for various events or coaching sessions.
1.2 Insurance Coverage:
Our musicians carry public liability insurance, which covers unforeseen incidents during performances. Details of the insurance coverage are available upon request.
2. Booking and Payment
2.1 Booking Confirmation:
To secure our ensemble/coaching performance services, clients must provide a signed agreement or confirmation and pay the agreed-upon deposit.
2.2 Cancellation Policy:
In the event of cancellation, clients must provide notice within [number] days. Cancellation fees may apply, and the client is responsible for any costs incurred up to the cancellation date.
2.3 Payment Terms:

3. Performance/Coaching Details

Clients may specify musical preferences or choose from our repertoire. Any special requests should be communicated well in advance.
3.3 Technical Requirements:
Clients are responsible for providing necessary equipment, such as sound systems, instruments, or other technical requirements, unless otherwise agreed upon.
4. Responsibilities and Liabilities
4.1 Client Responsibilities:
Clients must ensure a safe and suitable performance environment. Any issues related to the venue or event that may affect the performance should be communicated in advance.
4.2 Force Majeure:
Roywoodwind is not liable for failure or delay in the performance of our services due to circumstances beyond our control, such as natural disasters, strikes, or government regulations.
4.3 Liability Limitation:
Our liability is limited to the total amount paid by the client for the specific performance or coaching session.
5. Miscellaneous
5.1 Photography and Videography:
Roywoodwind reserves the right to use photographs or videos taken during performances for promotional purposes, unless otherwise agreed upon with the client.
5.2 Amendments:
Any changes to the terms of the agreement must be in writing and agreed upon by both parties.
